TITLE: Community Outreach program assistant (Data & Communications)

Supervisor:                 Chief Advancement Officer

Status:                        Full-time, hourly, non-exempt, professional starting at $17 per hour

Job Description

The Community Outreach Program Assistant is a member of the Community Outreach team, reporting to the Chief Advancement Officer. Primary responsibilities include assisting in the creation and distribution of communications and marketing materials to external stakeholders, administrative support to the outreach team through data entry and data tracking, and management of the donor database and routine acknowledgements. These primary responsibilities may be accomplished through managing and regularly updating an accurate donor database, preparing donation reports and dashboards, data tracking for all KPI’s related to Community Outreach, and other duties as needed. The Program Assistant will adhere to agency policies and strategies that ensure sustainability and organizational growth. The Community Outreach Program Assistant will work to promote the agency’s mission and values to all stakeholders.

Job Responsibilities

Communications and Marketing (45%-50%)

  • Assist in planning, promoting, and attending all Community Outreach department events

  • Create and distribute electronic mailings and special events messaging using Constant Contact

  • Support the development of collateral materials for fundraising and marketing purposes

  • Assist in the development of web pages and ticketing process for WNY Refugee Film Festival

  • Secure cost estimates for printing and/or other collateral materials as needed

  • Coordinate and support the efforts of the Chief Advancement Officer and Director of Communications & Marketing

  • Provide general administrative support and office management responsibilities to ensure the continuous, efficient and smooth operation of the department

  • Support media outreach efforts as appropriate

  • Proofread and edit materials as produced by Chief Advancement Officer and Director of Communications & Marketing

  • Help maintain JERS social media accounts

  • Participate in JERS advocacy activities: speaking engagements, webinars, and other advocacy efforts as needed

  • Regularly engage with event-goers and donors

  • Table and/or conduct off-site speaking presentations, virtual presentations, or office tours

  • Assist in the tracking of all community outreach activities and events for reporting purposes

  • Share responsibility for supervising Home Agains (donor housing set-ups). Requires weekend hours.

Donor Database (30% - 35%)

  • Manage donor database, Donor Perfect. Record all donor gifts in database; maintain accurate and current donor data

  • Train other staff to use database as needed

  • Create and run reports in donor database; analyze trends in donor data

  • Assist with execution of development plan

  • Coordinate donor acknowledgement process in accordance with Stewardship Calendar; send formal thank you letters to all donors, both in-kind and financial

Administrative (20%)

  • Update Development Plan Dashboard monthly

  • Track and report agency-wide KPI’s including volunteer hours, financial donations, and in-kind donations, event attendance, and media mentions

  • Produce data outcomes in a meaningful format, with the ability to analyze trends as needed

  • Assist in planning, promoting, and attending all Community Outreach events

  • Record receipt of all incoming checks including both donations and payments in agency check log

  • Other duties as assigned

Qualifications

  • A strong work ethic is required: must be well-organized and detail-oriented; prioritize and follow through on tasks accurately with minimal supervision; and be very self-motivated in a fast-paced work environment

  • A demonstrated background in community outreach and non-profit work strongly desired

  • A thorough understanding of the mission of Journey’s End, and a commitment to promoting the mission to different groups in the community

  • Database experience and other computer skills, including Microsoft Office Suite

  • Strong written and public speaking skills with ability to represent the agency professionally

  • Ability to work occasional evenings and weekends (work hours can be flexed)

  • Must be able to lift 25lbs
