Journey’s End Refugee Services, Inc. is a refugee resettlement and immigration services provider for the Western New York Region. Journey’s End works to assist newly arriving refugees to find gainful employment and avoid dependency on social services.
Supervisor: Supervisor of Case Management Services
Status: Full-time, (40 hours/Week) hourly, non-exempt, $17 per hour

Job Description
The Resettlement Program Assistant is responsible for preparing, maintaining, and tracking progress for all clients resettled or served through the department. The Program Assistant plays the lead role in completing pre-arrival tasks before clients travel to Buffalo, NY including preparing case files, updating the maintaining the arrivals board, updating the department database, scheduling Refugee Health Assessment appointments with local health clinics, assisting with utility and apartment setups, coordinating cultural orientation each month, maintaining client file organization, distributing department mail, and additional tasks as assigned. The Program Assistant plays a key role in helping Case Managers ensure core services are delivered efficiently and in a timely manner. Additionally, the Program Assistant takes charge of reporting cases and reviewing files for compliance with funders.

Job Responsibilities
Prepares all new case files for all case managers with all required forms
Assists with file cabinet maintenance and organization of old and new files
Responsible for processing bus pass requests, including ordering and picking up as needed
Responsible for referring all new arrivals and walk-ins for RHA and PCP appointments
Acts as primary contact with all local health clinics
Assists with client transportation when needed
Helps coordinate new arrival cultural orientations, including scheduling interpreters and getting clients signed in upon arrival
Responsible for weekly submission of DSS applications
Maintains accurate and current database with new client information, including assigned case manager; updates regularly
Assists with housing set-ups, inspections, cleaning, and moving furniture as needed
Coordinates with National Fuel to set up gas service for new arrivals
Creates airport pick-up document folders for all arriving clients and coordinates staff assisting with airport pick-ups, when needed.
Coordinates and/or assists with transportation for new arrivals to orientation
Participates in JERS staff meetings and activities.
Other duties as assigned
Qualifications
Degree in Social Work or related field and/or suitable work experience preferred
Strong organizational and time management skills
Strong attention to detail
Excellent communication skills
Ability to learn program-related information to be able to provide analysis on files and database support
Cultural competency and ability to work with diverse clients and coworkers with various backgrounds, languages, and cultures
Passion for resolving challenging problems, tendency of being a self-starter, and the ability to think outside of the box
Valid driver’s license and access to an insured vehicle.
